Atlantic Title Firm ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through our website, our mobile application ("the App"), and our secure client document portal, how we use and protect it, and the choices you have. By using our website, App, or portal, you agree to the practices described here.

Information We Collect

Information you provide: When you submit a form, order title services, or contact us, we may collect your name, email, phone number, property address, and any details you include in your message.

Account and login information: To use the secure document portal, clients log in with an email address and an access code we provide. Authorized staff log in with a name, email, and password. Passwords are stored in encrypted (hashed) form and are never visible to us in plain text.

Closing documents: As part of providing title and closing services, we and our authorized staff may upload documents related to your transaction — such as your title policy, lien search, survey, estoppel, escrow receipt, title commitment, and executed closing documents. These documents may contain nonpublic personal and financial information about you.

Information collected automatically: Like most websites and apps, we collect limited technical data such as IP address, browser or device type, pages or screens viewed, and referring source through cookies and analytics tools.

How We Use Your Information

To respond to your inquiries and provide title, escrow, and closing services; to deliver your documents securely through the portal; to coordinate your transaction with the parties involved; to send service-related communications (including notifications that documents are ready); and to maintain, secure, and improve our website, App, and services. We do not sell your personal information, and we do not use your documents or account information for advertising.

How We Share Information

We share information only as needed to complete your transaction (for example, with underwriters, lenders, real estate agents, and county recording offices), with service providers who support our operations (such as our hosting and email providers), or when required by law. We require these parties to protect your information. Documents in the portal are accessible only to you and to authorized Atlantic Title Firm staff.

The App & Client Document Portal

The App's tools — calculators, estimates, checklists, and information — are available to everyone without an account. A login is required only to access the private document portal, where you can view and download the documents for your own transaction. Documents are stored in a protected location that is not publicly accessible and are delivered only after a successful login.

Financial Privacy (GLBA)

As a provider of title and settlement services, Atlantic Title Firm handles nonpublic personal information and is subject to the Gramm-Leach-Bliley Act (GLBA) and applicable state privacy laws. We restrict access to your nonpublic personal information to those who need it to provide services to you, and we maintain physical, electronic, and procedural safeguards designed to protect it.

Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (HTTPS) connections, hashed passwords, access controls, and storage of documents outside any publicly accessible location. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. Never send wire instructions or sensitive financial details by unencrypted email, and never act on wiring instructions received by email or text — always verify wiring information by phone using a known number.

Account & Data Deletion

You may request deletion of your portal account and the personal information associated with it at any time by emailing info@atlantictitlefirm.com or calling (561) 396-2692. Upon request, we will deactivate your portal access and delete your account and documents from the portal. Please note that, as a regulated title and settlement provider, we may be legally required to retain certain transaction records for a period of time even after your account is deleted; in those cases we retain only what the law requires and continue to protect it.

Cookies & Analytics

Our site and App use cookies and analytics (such as Google Analytics) to understand usage and improve performance. We also use a security tool (Cloudflare Turnstile) to protect our forms from abuse. You can disable cookies in your browser settings, though some features may not function as intended.

Children's Privacy

Our website, App, and portal are intended for adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.

Your Choices & Rights

You may request access to, correction of, or deletion of the personal information you have provided by contacting us. You may also opt out of non-essential communications at any time. Depending on your state of residence, you may have additional privacy rights.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes are effective when posted, with the "Last updated" date revised above.
